Covid 19 – Update on our Procedures and Services

In line with recent Government Guidance regarding the spread of Covid 19, we have put together this page in order for clients to keep up to date with our associated procedures and any changes to our services. As the situation and guidance from Government changes, we will update this page accordingly.

As the days progress and the government updates it’s guidance and action on a daily basis we need to ensure that we protect staff, the public and high risk individuals in conjunction with following all government guidelines.

In accordance with Step 4 of the Roadmap out of lockdown from 19th July 2021, the housing market remains open and Estate and Letting Agents can continue to operate.

In terms of our services, we have, following guidance from Safe Agent and the Government, made the following changes to our usual services;

Visiting our Offices

The Grantham Branch is open 9.00am to 5.30pm Monday – Thursday, 9.00am to 5.00pm on a Friday and 9am to 1pm on a Saturday.

  • No more than 2 people will be allowed in the office at one time due to social distancing requirements.
  • If you have any symptoms of coronavirus, please do not come into the office. The main symptoms include
    – A high temperature
    – A new, continuous cough
    – A loss or change to your sense of smell or taste
  • Please use the hand sanitiser provided.
  • Avoid close contact and allow a reasonable distance between yourself and other people.
  • Face Coverings are no longer required by law. However, the government expects and recommends that people continue to wear face coverings in crowded, enclosed spaces.Where worn correctly, this may reduce the risk of transmission to themselves and others. Be aware that workers may choose to wear a face covering in the workplace. Please feel free to wear a mask if you would like to.

Property Visits

Following the Government Guidance, house inspections are authorised to go ahead if you are not showing symptoms of COVID-19 or self-isolating.

The following control measures are in place for staff members visiting people’s homes when these resume.

  • Any visits to a property must be made in accordance with government’s guidelines on working in other people’s homes
  • Completing a health assessment on all staff visiting people’s homes
  • Handshaking and physical contact will be avoided
  • Protective Gloves may be worn and discarded safely after each appointment
  • To maintain 1 m plus social distancing where possible
  • Face Coverings are no longer required by law. However, the government expects and recommends that people continue to wear face coverings in crowded, enclosed spaces.Where worn correctly, this may reduce the risk of transmission to themselves and others. Our workers have chosen to wear a face covering whilst conducting appointments. Please feel free to wear a mask if you would like to.
  • No more than 2 households inside at one time
  • Tools will not be shared
  • Increased handwashing and sanitizer use
  • Occupiers can wait outside or in cars where appropriate
  • Occupiers advised to clean homes before and after visits
  • Occupiers advised to open all doors and cupboards to minimise touching
  • Holding conversations outdoors where possible to minimise exposure
  • Trying to keep the same people going to the same property where possible

Viewings

Initial viewings are to be undertaken virtually where this is possible in order to minimise public health risks. Most of our available properties do have a virtual viewing available (click on the ‘virtual tour’ button available on our advertisement). Applicants with a strong interest and having completed a Health Assessment form, can request a physical viewing of the property.

The following rules must be adhered to when carrying out your viewing:

Our workers have chosen to wear a face covering whilst conducting appointments. Please feel free to wear a mask if you would like to.
  • Social distancing must be practiced at all times
  • All physical viewings where prospective renters will be entering the property should involve no more than 2 households inside the property at any one time. This includes any agent accompanying either party. Anyone in a support bubble with either household, however, will count as part of that household.  
  • If you need to be accompanied by small children, you should try to keep them from touching surfaces and ensure they wash their hands regularly
  • Where possible, you must avoid touching surfaces, wash your hands regularly, and bring your own hand sanitiser

Property Appraisals

You can put your home on the market for let. If any member of the household being viewed is showing symptoms or is self-isolating then agents should not physically visit the property. A health assessment will need to be completed by the owner before any appointment can take place.

  • Marketing material via digital resources rather than leaving any ‘paper’ documents and follow up with an email.
  • Increased handwashing and sanitizer use
  • Occupiers advised to clean homes before and after visits
  • Occupiers advised to open all doors and cupboards to minimise touching
  • Holding conversations outdoors where possible to minimise exposure
  • Virtual meeting in the first instance to limit time for staff member in the property and virtual meeting following visit to finalise

Maintenance

All our liabilities under the tenancy agreement and Landlord and Tenant Act remain in place unless we get government advice to the contrary.

Necessary repairs, gas and electrical safety checks will continue to be conducted in the normal manner following the government guidelines and advice, unless you are showing symptoms of COVID-19 or self-isolating.

There may be a backlog of maintenance due to COVID-19 therefore works will be undertaken in priority order and your patience is appreciated in this respect.

If visits are needed to an occupied property, this should be done by appointment with measures put in place to ensure physical contact is minimised, for example with residents staying in another room during the visit.

Moving Home/Tenancy Sign Ups

The government regulations make clear that people who wish to move home can do so. Belvoir Grantham have implemented procedures to ensure that moving home can happen safely and the completion and signing of all documentation will be undertaken remotely.

Estate and letting agents and removal firms can continue to work. If you are looking to move, you can go to property viewings.

Tenant Check Outs

Tenants are asked to return keys to the office and the Check Out will be undertaken by the Check Out Clerk alone in the property for the safety of the staff member in question and the Tenant/s unless you request otherwise.

Clinically Extremely Vulnerable Category Clients, Customers and Tenants

Tenants in a ‘High Risk Category’ as per the Governments Guidelines or those self-isolating, please contact us via email to grantham@belvoir.co.uk to inform us, so that we may update our records.

Rent Payments

Rent payments will be due as per the terms of your tenancy agreement. If the Government confirms any changes to this and/or any changes to legislation regarding tenancy agreements and rent payments, then we will update this page along with any procedural changes accordingly.

Safe Agent advise that tenants who have any concerns about paying their rent due to a change in their work circumstances, please follow the guidance from the Department of Work and Pensions.
